Mail User Guide

Use the Mail app to send, receive, and manage email for all of your email accounts in one location. Simply add the accounts—such as iCloud, Exchange, Google, school, work, or other—you want to use in Mail.

Add an email account

The first time you open the Mail app on your Mac, it may prompt you to add an account. Select an account type—if you don’t see your type, select Other Mail Account—then enter your account information.

If you already added an email account, you can still add more. In Mail, choose Mail > Add Account, select an account type, then enter your account information. Make sure the Mail checkbox is selected for the account.

If you’re using an account on your Mac with other apps, such as Contacts or Messages, you can also use that account with Mail. In Mail, choose Mail > Accounts to open Internet Accounts preferences, select the account on the left, then select the Mail checkbox on the right.

Temporarily stop using an email account

In the Mail app on your Mac, choose Mail > Accounts.

Select the account, then deselect the Mail checkbox.

Now the account’s messages are not shown in Mail.

Mac OS X 10 Public Beta

Prior to the release of the first Mac OS X version, the public beta, known inside Apple as Kodiak, was released by the company to developers to test the operating system and create software in time for the final release.

It is the first operating system to introduce the Aqua user interface – which is still used up until today. It was launched in September 2000 and it cost $29.95 to purchase. It became unsupported after March 24th 2001.

Mac OS X 10.0 Cheetah

Apple started the trend of naming its operating systems after big cats with Mac OS X 10.0, code name: Cheetah. It was the final nail in the coffin for Mac OS 9 and was released in March 24, 2001. It introduced the Dock, Mail, TextEdit, and still had Sherlock.

However, it was negatively received by the public for a variety of reasons:

It required 128 RAM at a time when the standard for Apple-made computers were at 64 MB.

The Aqua UI was slow and sluggish: the earlier operating systems were faster compared to it.

It had stability issues and was riddled with numerous bugs which caused kernel panics.

Hardware and compatibility issues, like missing DVD playback, not having a CD burning feature, and missing hardware driver issues.

The Cheetah as priced at $129, but it was so bad that it wasn’t worth the money and it rendered Apple to offer the next version for free.

Mac OS X 10.1 Puma

It was introduced later in September 2001, six months after Cheetah was released. It was handed out free of charge to Cheetah users. Though it fixed several bugs and areas where the Cheetah was lacking, it was not a significant upgrade and system crashes were still a norm.

Unlike its predecessor, Puma now had CD and DVD burning capabilities, playback support, and introduced several performance enhancements.

Mac OS X 10.2 Jaguar

Unlike the Cheetah and Puma, Apple the operating system’s code name, Jaguar, for marketing and advertisement purposes. It was released nearly a year after Puma, at August 24, 2002. The released featured single installation versions and family packs, which allowed it to be installed to up to five devices.

It was well-received by most Mac users, considering that most of the performance issues in the previous versions were addressed. It includes features which are still present in Macs up to this day, like MPEG-4 support for Quicktime, the Address Book, and Inkwell. Its most significant additions were Apple Mail and a messaging client called iChat, which was subsequently replaced with the Messages app after Mountain Lion.

The Panther was released to the public on October 24, 2003, more than a year after Jaguar’s release. It was one of Apple’s biggest releases, considering that it introduced numerous updates and features (150, as claimed by Apple), including:

Finder, which had a new live search engine.

TextEdit, which became compatible with Microsoft Word docs.

Exposé, which helps users manage their Windows.

It’s biggest change and addition is the introduction of the Safari browser, which effectively replaced the Internet Explorer. It needed at least 128 MB of RAM to run. It also introduced XCode, Apple’s developer tool which helps develop applications, along with FileVault which is used to encrypt data.

Mac OS X 10.4 Tiger

The Tiger was met with a roaring reception after it was made public on April 29, 2005 – it became Apple’s bestselling operating system, selling over two million copies within six weeks after release. It boasted a slew of new features, including:

Spotlight – it effectively replaced Sherlock as the OS X internal search engine.

Mail 2 – a newer and improved version of the Mail app.

Dashboard – an app which featured widgets like a world clock, weather, and unit converter.

Dictionary – this uses the New Oxford American Dictionary.

Tiger also introduced Automator, Grapher, and Quicktime 7.

Mac OS X Leopard 10.5

As the successor to Tiger, the Leopard had big shoes to fill – and it did so to full capacity. It was released two years after its predecessor and was priced at $129 for the desktop version and $499 for the server one. According to Apple, it brought over 300 new features and numerous improvements. The notable ones include:

Security enhancements such as application signing, sandboxes, and library randomization.

Time Machine, a utility tool which allows the user to back up deleted or replaced files.

Quick Look, this allows documents to be viewed on a separate application without having to open them.

iCal now allows calendar sharing and group scheduling. It is also closely synced with the Mail app as well and the icon shows the date even when not in use.

Apart from these, Spaces and Boot Camp are also pre-installed.

Mac OS X 10.6 Snow Leopard

The Snow Leopard was priced at a pretty affordable $29, a huge markdown from the previous versions which cost a hundred dollars more. In terms of features, it did not deliver a lot considering that Apple focused more on performance and stability. It was more of an upgrade to the Leopard instead of a totally new operating system.

Here’s a list of improvements and upgrades separating it from the Leopard:

It freed up hard disk space considering that it was relatively smaller compared to the Leopard. It managed to give users an extra seven gigabytes of storage space.

The Finder was completely rewritten in Apple’s native application programming interface Cocoa, making it faster and more responsive.

A faster Safari browser and new features such as Top Sites, Cover Flow, and VoiceOver.

Snow Leopard also made improvements on the user interface which were more centered in making it easy to use.

Mac OS X 10.7 Lion

It was unveiled in October 2010 and was released to the public on July 1, 2011. It supported multi-touch features to the Mac and applications now open in the same state as they were closed, just like in the iOS. Speaking of the mobile operating system, the Lion also took a leaf out of its book, including a better and more navigable application display. The OS X notification also debuted in the operating system.

OS X 10.8 Mountain Lion

As of OS X 10.8 Mountain Lion, Apple dropped “Mac OS X” and started marketing its operating systems as OS X. It was released in July 25 2012 and introduced new features which are present in the iOS 5, including the Game Center, iMessage support, Reminders as a separate app from iCal, which in turn was renamed to Calendar. Notes – and iOS app – was also added in the operating system which can then be synced to other Apple devices.

It sold 28 million copies in its first year, making it one of the most successful operating systems released by Apple.

OS X 10.9 Mavericks

Apple stopped naming its operating systems after big cats in OS X 10.9, which was named after a surfing spot in California. The default desktop background would suggest that.

It was released in October 23, 2013 as a free update. In a nutshell, Mavericks emphasized prolonged batter life and close integration with iOS. It was a significant update for Apple fans, given that it brought Apple Maps to the OS X, improved iCloud integration, and had the iBooks application.

OS X 10.10 Yosemite

If you haven’t upgraded your operating system to the current version, you might still be running Yosemite. It followed the landmark-based naming scheme Apple started with Mavericks – this time it was named after a prominent national park in California. Eye Control Improvements

We’re continuing to extend and improve Eye Control based on your customer feedback. Drag-and-drop: One of the most requested features, performing mouse drag-and-drop, is now implemented in Eye Control. When turned on from within Eye Control’s settings screen, the precise mouse control tool now allows mouse drag operations, as well as the ability to combine clicks and drags with Shift and Ctrl modifier keys. Pause: We’ve made improvements to the pause experience. Selecting the pause button completely hides the launchpad. When dismissed, the launchpad reappears when you briefly close your eyes or look away from the screen. This allows uninterrupted viewing of full screen content, like watching a video. Similarly, it also allows eye gaze enabled applications to be used without triggering Eye Control features, useful if playing the recently launched Eye First applications. Switch support: Previously, Dwell was the method for clicking a button. Dwelling is the act of fixing your eyes on part of the screen and keeping your eyes there for a specific amount of time. In this release, we’re adding a second activation method, switch. In this method, dwell is used to select the target, but clicking a button is done with switch. Currently switches on joysticks, or devices emulating joysticks, are supported. Under the hood: People wishing to develop their own gaze enabled applications can do so using the open source Gaze Interaction Library in the Windows Community Toolkit. In this revision of Eye Control, the user interface is implemented using the same code that is in the Gaze Interaction Library. Settings: We have updated settings to allow you to manage more Eye Control features. This includes enabling some of the new features and more fine control of the numeric values that change how responsive the system is to eye movements. This allows for a more customized and natural feel for your Eye Control experience.

Other Accessibility Improvements

Narrator will now automatically start reading webpages and emails: Do you want to hear the most valuable content faster? Narrator now automatically starts reading webpages when they are loaded. Narrator will start reading at the main landmark, if there is one, or will fall back to a reasonable paragraph. Narrator will also start automatically reading emails when they are opened in Outlook and the inbox Mail applications. If you find experiences that aren’t working well, please send us feedback.The Magnifier UI now works with dark theme and text sizing options. The image below shows two Magnifier windows. The top one is in Light theme and default text size; the bottom one is in Dark theme and the text is scaled at 125%.

Refining your notification settings

Over the last few releases, based on your feedback, we’ve been working on giving you more control over potential interruptions. Introducing Focus Assist to automatically suppress notifications when you’re trying to stay in the moment and not get distracted, and adding the option to use middle click to dismiss notifications if you want to quickly make a notification toast go away. One thing we’ve heard from you, though, is that our notification settings aren’t easily discoverable. In addition, once you find the settings, they can be difficult to understand. In order to address this, we’ve begun rolling out a few changes, including: When you receive a notification toast, there will now be an inline option to turn off notifications for that app, or head to the app’s notification settings.When you dive into an app’s notification settings, you’ll find that we’ve added pictures to help articulate the impact of a certain settings.Prefer to have all your notifications muted? You no longer have to go to the old sound control panel to do that – we’ve added it as a top-level option in Notification & Actions Settings.But wait, there’s more! We’ve also added a new direct link at the top of the Action Center to manage notifications, so it takes one less step to get to Notification & Actions settings. To make room for this we’ve moved the “no notifications” text down to the middle of the Action Center, which also means your eyes don’t have to traverse as far to see it when you launch the Action Center from the bottom of the screen.Finally, ever dismissed a notification you wanted to disable, and went to Notification & Actions Settings only to find the list of notification senders to be really really long? You can now sort the list by which apps most recently sent notifications. We hope you like these changes! They’re currently available for a portion of Insiders in the Fast ring, and we’ve seen positive results so far.

Your Phone app – Phone screen & Notifications features

Hello Windows Insiders. Today, we’re bringing additional new features to the Phone screen, which includes the ability to one touch tap and integration with Notifications. Try out these preview features and give us your feedback. Enabling touch functionality You will now be able to interact with your phone screen using one-touch tap and long press. This handy feature will allow you to conveniently open apps, select items, click on links, and more, directly on your touch-enabled PC. Notifications integration with Phone screen We’re pleased to launch Notifications integration with Phone screen for Insiders with the May 2019 update or newer. If Phone screen is set up, your notifications will open in Phone screen allowing you to interact with your keyboard and mouse. If Phone screen is not supported or set up, clicking on notifications will take you to your notifications feed instead. Note that your text message notifications (SMS, MMS) will continue to be available within the messaging node. Your Phone Notifications available to all users Thank you to everyone who gave us feedback over the last few weeks to help us improve the Notifications feature in the Your Phone app. We’re happy to announce that this feature is now gradually rolling out to all Windows 10 users with the April 2018 update and newer. General changes, improvements, and fixes

We’re in the process of converging settings sync engines to reduce complexity and improve reliability of sync. As of today, the older settings sync engine will be turned off for 20H1 builds and changes made to settings that have not yet been migrated to the new settings sync engine will stop being sent and received until that work is complete. Some settings may not be migrated. The full list of settings that have been supported for sync are available here, but the list is subject to change during 20H1. Synced settings that are impacted by this change include settings pertaining to taskbar orientation, wallpaper, theming, and others. If there’s a setting you’d like to particularly be prioritized as we work on this, please let us know. Please note, you may notice a one-time receival of synced settings changes after you upgrade or reset your PC, but after that it will stop.We’ve updated our indexing behavior to exclude common developer folders, such as .git, .hg, .svn, .Nuget, and more by default. This will improve system performance while compiling and syncing large code bases in the default indexed locations such as user libraries.We fixed an issue where the update might have failed the first time you tried to download it with a 0xc0000409 error code.We fixed an issue where recent updates might have failed with a 0x80070005 error code.We fixed an issue for Home editions where some devices couldn’t see the “download progress %” change on the Windows Update page.We fixed a race condition resulting in some Insiders seeing a large number of explorer.exe crashes in recent builds. This is also believed to be the root cause for some Insiders finding that Control Panel wasn’t launching – please let us know if you continue seeing issues after upgrading to this build.We fixed an issue resulting in some Insiders finding that their File Explorer search box was rendering in an unexpectedly small space and crashed when clicked.We fixed an issue where Settings would crash if you tried to add a language on the previous build.In Word, after showing a “flash message” on a braille display, Narrator is now correctly showing just the current heading.We made a small backend change to the updated Windows Ink Workspace to help improve the launch time.We fixed an issue resulting in Task Manager unexpectedly showing 0% CPU usage in the Performance tab.We fixed an issue that could result in a black remote desktop window for a few seconds when disconnecting from a remote desktop session.We fixed a issue resulting in Direct3D 12 games crashing in the previous flight.We fixed an issue that could cause certain apps to crash when you input Asian characters.We fixed an issue for the Chinese Pinyin IME where, if you were in the middle of finalizing a phrase and clicked away, the next thing you typed wouldn’t show the characters.We fixed an issue with the Chinese Pinyin IME where the mouse over highlight could get stuck on a particular candidate in the candidate window.We fixed an issue with the Chinese Pinyin IME where the candidate window wouldn’t display when typing in the Microsoft Edge search box (Ctrl+F).We fixed an issue resulting in not being able to use touch to open context menus on websites in Microsoft Edge after using pinch to zoom in and back out.Narrator search mode will now reset scoping to all elements each time it is opened.The data looks good, so we’re now rolling out the fix for taskbar unexpectedly dismissing when invoking Start if set to autohide to all Insiders in Fast.We fixed an issue where the Bluetooth Hands-Free audio driver (bthhfaud.sys) could get stuck when making or breaking a synchronous connection-oriented (SCO) link to the headset. This would cause all audio on the system to stop working until the system was rebooted.

Known Issues

If you’re seeing failures installing games via the Xbox app, you can retry the install. If it continues failing, you may want to roll back to Build 18922.There has been an issue with older versions of anti-cheat software used with games where after updating to the latest 19H1 Insider Preview builds may cause PCs to experience crashes. We are working with partners on getting their software updated with a fix, and most games have released patches to prevent PCs from experiencing this issue. To minimize the chance of running into this issue, please make sure you are running the latest version of your games before attempting to update the operating system. We are also working with anti-cheat and game developers to resolve similar issues that may arise with the 20H1 Insider Preview builds and will work to minimize the likelihood of these issues in the future.Some Realtek SD card readers are not functioning properly. We are investigating the issue.Tamper Protection may be turned off in Windows Security after updating to this build. You can turn it back on. Threat & Vulnerability Management

Threat & Vulnerability Management is a new component of Microsoft Defender ATP that provides:

Attack surface reduction

Attack surface reduction limits the number of attack vectors that a malicious actor can use to gain entry. You can configure attack surface reduction through the following:

Microsoft Intune

System Center Configuration Manager

Group Policy

PowerShell cmdlets

Enable these capabilities to reduce your attack surface:

Hardware-based isolation Configure Microsoft Defender Application Guard to protect your company while your employees browse the internet. You define which websites, cloud resources, and internal networks are trusted. Everything not on your list is considered untrusted. Application control Restrict the applications that your users can run and require that applications earn trust in order to run. Device control Configure Windows 10 hardware and software to “lock down” Windows systems so they operate with properties of mobile devices. Use configurable code to restrict devices to only run authorized apps. Exploit protection Configure Microsoft Defender Exploit Guard to manage and reduce the attack surface of apps used by your employees. Network protection Use network protection to prevent employees from using an application to access dangerous domains that may host phishing scams, exploits, and other malicious content. Controlled folder access Prevent apps that Microsoft Defender Antivirus determines are malicious or suspicious from making changes to files in protected folder. Network firewall Block unauthorized network traffic from flowing into or out of the local device. Attack surface reduction controls Prevent actions and apps that are typically used by exploit-seeking malware to infect machines.

Next generation protection

The Intelligent Security Graph powers the antivirus capabilities of Microsoft Defender Antivirus, which works with Microsoft Defender ATP to protect desktops, laptops, and servers from the most advanced ransomware, fileless malware, and other types of attacks.

Configure Microsoft Defender Antivirus capabilities to:

Enable cloud-delivered protection Leverage artificial intelligence (AI) and machine learning algorithms to analyze the billions of signals on the Intelligent Security Graph and identify and block attacks within seconds. Specify the cloud-delivered protection level Define the amount of information to be shared with the cloud and how aggressively new files are blocked. Configure and validate network connections for Microsoft Defender Antivirus Configure firewall or network filtering rules to allow required URLs. Configure the block at first sight feature Block new malware within seconds.

Endpoint detection and response

Microsoft Defender ATP endpoint detection and response capabilities detect advanced attacks in real-time and give you the power to respond immediately. Microsoft Defender ATP correlates alerts and aggregates them into an incident, so you can understand cross-entity attacks (Figure 1).

Alerts are grouped into an incident based on these criteria:

Automated investigation triggered the linked alert while investigating the original alert.

File characteristics associated with the alert are similar.

Manual association by a user to link the alerts.

Proximate time of alerts triggered on the same machine falls within a certain timeframe.

Same file is associated with different alerts.

Review your alerts and incidents on the security operations dashboard. You can customize and filter the incident queue to help you focus on what matters most to your organization (Figure 2). You can also customize the alert queue view and the machine alerts view to make it easier for you to manage.

Once you detect an attack that requires remediation, you can take the following actions:

Take response actions on a machine – Isolate machines or collect an investigation package.

Take response actions on a file – Stop and quarantine files or block a file from your network.

Auto investigation and remediation

Microsoft Defender ATP can be configured to automatically investigate and remediate alerts (Figure 3), which will reduce the number of alerts your Security Operations team will need to investigate manually.

Create and manage machine groups in Microsoft Defender ATP to define automation levels:

Automation level Description Not protected. Machines will not get any automated investigations run on them. Semi – require approval for any remediation. This is the default automation level. An approval is needed for any remediation action. Semi – require approval for non-temp folders remediation. An approval is required on files or executables that are not in temporary folders. Files or executables in temporary folders, such as the user’s download folder or the user’s temp folder, will automatically be remediated if needed. Semi – require approval for core folders remediation. An approval is required on files or executables that are in the operating system directories such as Windows folder and program files folder. Files or executables in all other folders will automatically be remediated if needed. Full – remediate threats automatically. All remediation actions will be performed automatically.

Microsoft Threat Experts

Microsoft Threat Experts is a new, managed threat hunting service that provides proactive hunting, prioritization, and additional context and insights that further empower security operations centers (SOCs) to identify and respond to threats quickly and accurately with two capabilities:

Targeted attack notifications—Alerts that are tailored to organizations provide as much information as can be quickly delivered to bring attention to critical network threats, including the timeline, scope of breach, and the methods of intrusion.

Experts on demand—When a threat exceeds your SOC’s capability to investigate, or when more actionable information is needed, security experts provide technical consultation on relevant detections and adversaries. In cases where a full incident response becomes necessary, seamless transition to Microsoft incident response services is available.

Microsoft Defender ATP customers can register for Microsoft Threat Experts and we will reach out to notify you via email when you’ve been selected.
